Tech Tools

Below are some tools small business owners should consider using.

Of course, other options may be a better fit for you, but to keep things simple these are what we've used ourselves and regularly recommend.

This page has referral links. They give us a small spiff at no extra cost to you if you click through and make a purchase. No pressure to use, but always appreciated. (Also know that this doesn’t influence what we recommend.)

Business Email & Collaboration

GOOGLE WORKSPACE

Google Workspace helps teams communicate, collaborate and get things done from anywhere, on any device. It’s simple to set up, use and manage.

Highlights:

  • Look professional and communicate as you@yourcompany.com, building your credibility
  • Check emails, chat, share files, edit documents, hold video meetings and more, whether you’re at work, home or on the move. Pick up wherever you or your team left off
  • Robust admin settings give you total command over users, documents, security and more

MICROSOFT 365

Microsoft 365—like Google Workspace—also helps teams communicate, collaborate and get things done from anywhere on any device, and has additional features. Highlights:

  • Everything mentioned with Google Workspace (you@yourcompany.com, collaboration, admin settings), plus…
  • Access to Word, Excel, and PowerPoint—mainstays of the business world—now with cloud convenience
  • More tools connected under one password like project management, booking and more, built for more complex needs or future expansion

Security

Alleviate password hassles for you and your team and access passwords across devices through central, secure sharing. Automatically generate strong, individual passwords you never have to remember, write down, or give to team members.
Forced to change a login? No problem, simply update Bitwarden and your team automatically has access next time they need it. Need different permissions for different people or departments? No problem, just segment accordingly. Team member leaving? No problem, simply revoke access.

VPNs improve internet privacy and security, acting as an encrypted barrier instead of connecting directly to a website (i.e. at a coffeeshop, airport, or other public/shared wifi), where your activity is visible to anyone who knows how to look for it.
This means your email, banking info, and more could be vulnerable. If you handle sensitive info or sometimes do banking on the go, we recommend using a VPN. Otherwise, it’s probably not necessary…though prices are low if you want it for peace of mind.

Marketing & Automation

ConvertKit is an email marketing platform that offers a lot of features in a really simple, intuitive way.

Not only can you broadcast email your clients, customers, and prospects, but you can also create landing pages, automate marketing, and collect and process payments for one-time or subscription products.

Zapier connects the tech you use (4,000+ apps!) so they share data and pass info to each other automatically.
If you’ve ever wished you could get info from this program to that, or from this software to that spreadsheet all without manual entry, Zapier’s the thing you’re looking for.

Electronics

MICROSOFT SURFACE

Computers direct from Microsoft are free from 3rd party “bloatware”, so your computer’s going to run faster, for longer.

Consistently top-ranked for power, design, productivity, and adaptability, Microsoft’s Surface laptops and 2-in-1’s have a number of versatile options that can adapt to your specific needs. One thing many business owners love: handwriting notes directly on the tablet, so you can finally ditch the paper.

ASUS PORTABLE MONITORS

Having two screens makes you more productive, and we recommend portable monitors to increase flexibility:

  • Straddling home and office?
  • Going on a business retreat?
  • Offsite meeting with a client?
  • Traveling for business?

Your monitor goes where you go, and having dual screens allows you to Zoom while taking notes, research while writing, compare contracts side-by-side, and much more.
